Access & Engagement Specialist (Growth Path to Full-Time, Practice Manager-Track Coordinator)

Location: Remote-First (We serve clients in DC, VA, MD, TN, CO; expanding to IL, TX, and CA)

​

Hours: 10–20 hrs/week (part-time with full-time trajectory)

 

Compensation: $14–$18/hr, with clear advancement to Access & Engagement Coordinator ($19–$22/hr) and Practice Manager ($55K-75K)

 

About The Center for Mother-Daughter Trauma Recovery & Prevention (TCFMDTRP)

 

The Center for Mother-Daughter Trauma Recovery & Prevention (TCFMDTRP) is a trauma-focused behavioral-health practice specializing in the impact of mother-daughter and family-of-origin trauma on identity, relationships, and well-being.

Our work explores how early relational experiences shape how people see themselves, connect with others, and move through the world.

 

We serve three signature initiatives:

  • Trauma-Informed Campus Collective (TICC): Supporting college and university students navigating family estrangement, trauma, and identity-based challenges.
     

  • Provider Longevity Project (PLP): Helping clinicians and healthcare professionals build sustainable, mission-driven careers while addressing burnout and family-of-origin stressors.
     

  • Beyond Belief Alliance (BBA): Supporting individuals whose early exposure to faith involved control or maternal coercion to heal from religious trauma and redefine spirituality on their own terms.

 

About the Role

​

This role is the heartbeat of client access, coordination, and operational continuity. You’ll be the first point of contact for prospective clients, ensuring their intake experience is smooth, organized, and trauma-informed. You’ll also play a vital role in maintaining the practice’s financial health by managing insurance verifications, billing submissions, and claims follow-up.

​

This position blends front-end client care with back-end operational accuracy, making it an ideal fit for someone who loves people, systems, and efficiency. You’ll be trained on all platforms (PracticeQ, Availity, TriZetto, and internal trackers).

 

High performers can advance quickly to Access & Engagement Coordinator, overseeing interns and leading intake/billing workflows within 4–6 months, with a clear track to Practice Manager.

 

Key Responsibilities

 

Phase 1: Specialist I (Months 1–3)

​

  • Learn practice systems (EHR, HIPAA, scheduling, verification, billing basics).
     

  • Conduct client intake and scheduling across all service lines.
     

  • Verify insurance eligibility and benefits through Availity and payer calls.
     

  • Submit basic claims through clearinghouse (TriZetto).
     

  • Maintain accurate AM/PM logs and escalate complex issues to Practice Manager.
     

  • Respond to all client and partner communications within 24 hours.
     

Phase 2: Specialist II (Months 4–6)

​

  • Independently manage full consult-to-intake workflow.
     

  • Run eligibility, verify coverage, and follow up on incomplete or pending claims.
     

  • Assist with month-end revenue reconciliation and EHR quality checks.
     

  • Train new interns on intake and portal management.
     

  • Lead one improvement project to optimize the intake or billing workflow.
     

Phase 3: Access & Engagement Coordinator (Months 7–12+)

​

  • Oversee intake and billing quality across the department.
     

  • Audit client communication logs for timeliness and professionalism.
     

  • Lead insurance and claims review meetings.
     

  • Track departmental KPIs and produce monthly summaries for Practice Manager.
     

  • Supervise 1–2 specialists or interns and coordinate their training schedules.
     

Ideal Candidate

​

  • High school diploma required; associate’s or bachelor’s in Health Administration, Business, or related field preferred.
     

  • 0–2 years of healthcare, billing, or administrative experience (billing exposure strongly preferred).
     

  • Excellent written communication and organizational skills.
     

  • Tech-savvy with Google Workspace, Excel, and EHR familiarity.
     

  • Detail-oriented, proactive, and able to work independently with deadlines.
     

  • Compassionate and professional when communicating with clients, payers, and partners.
     

  • Excited to learn the full continuum of behavioral health administration and billing.

This is not a passive admin role, it’s a systems-builder position within a trauma-informed organization. You’ll be cross-trained in both client access and billing continuity, giving you a full view of how trauma-informed practices operate sustainably.

The skills you gain here: insurance literacy, claims management, operational systems design, etc. will make you uniquely equipped for leadership in behavioral health administration.
